Step 6: Review Candidacy Tab Data Sources

The online application form template is set up to populate the Candidacy tab questions based on information in your J1 database and on the options the applicant selects. When the applicant selects the year they plan to begin their studies, only terms related to that year are available in the following questions.

If you are pointing to the J1 database and using all of the application form template questions, little setup is needed. The following describe how the form questions are tied to one another and step through how to check the related Jenzabar-provided data sources. If you are not pointing to the J1 database, you may need to update these data sources.

How to Set up the Following Questions:

What year do you plan to begin your studies?

The question options are populated by the JZB - Candidacy Year List data source. It is also used to determine what terms will be available in the following What term do you plan to begin your studies? question.

1. From the Tools menu, select Data Sources.

2. From the DataSource drop-down, select JZB Candidacy Year List.

Make a copy of the provided JZB - * datasources as they may be updated and overwritten in a future release.

3. From the Use Database drop-down, verify the correct database is being used. The template automatically uses the J1 database, YEAR_TERM_TABLE table.

4. Review the DataSource query to ensure the table and column your school uses to manage years and terms is selected. If your school uses a different table for your years/terms, update the query as needed.

5. Test or save your datasource.

6. Click Done. The data source is set up on the question properties, Options tab. When the applicant selects a year, this drop-down will show the available terms. If a particular term isn't appearing, check the J1 Desktop Year Term Subterm window.

What term do you plan to begin your studies?

The options for this question are populated by the JZB - Candidacy Term List data source and only show the terms available for the year the applicant selected in the What year do you plan to begin your studies? question. This data source filtering is set up on the question's properties and only needs to be updated if you changed the Unique ID of the What year do you plan to begin your studies? question.

3. From the Use Database drop-down, verify the correct database is being used. The template automatically uses the J1 database, YEAR_TERM_TABLE table.

The ##CandidacyYear placeholder means the question requires the year input from another question to populate that part of the data source.

5. Test or save your datasource.

6. Click Done. The link to the What term do you plan to begin your studies? data is set up on the question properties, Options tab. When the applicant selects a year, this drop-down will show the available terms. If a particular term isn't appearing, check the J1 Desktop Year Term Subterm window.

Which Programs of Study Will you Choose?

The question options are populated by the JZB - Candidate Program List data source.

1. From the Tools menu, select Data Sources.

2. From the DataSource drop-down, select JZB - Candidate Program List. TIP: Make a copy of the provided JZB - * datasources as they may be updated and overwritten in a future release.

3. From the Use Database drop-down, verify the correct database is being used. The template automatically uses the J1 database, PROGRAM_DEF table.

4. Review the DataSource query to ensure it is the table your school uses to manage programs. If your school uses a different table for your programs, update the query as needed.

5. Test or save your datasource.

6. Click Done. The data source is set up on the question properties, Options tab. If a particular program isn't appearing, check the J1 Desktop Program Definition window and the Show on Web check box.
